Registration and Tour Policies
Single Supplement Program Information
Tours with an overnight stay have an additional cost for solo riders. This is because your room will not be shared as a room for a couple would be. If a solo cyclist is willing to share a room, Mountain High Bicycle Tours will attempt to match him/her with a roommate. If a pairing is successful, we will remove the Single Supplement rate for each person.
Liability Release
Each participant on the Tour is required to fill out Mountain High Bicycle Tours liability release. Liability forms will be available at the pre-tour meeting but can be reviewed ahead of time by clicking on the link below.

Payments

For week long tours, a 50% deposit is taken at the time of reservation and the balance is due 90 days prior to the tour departure date. Tours of less than a week require full payment up front.

An invoice will be sent when final payment is due.

On occasion, Mountain High Bicycle Tours will confirm a tour that is below its rider minimum so that our guests can plan and make commitments. When we do this for clients, any tour discounts do not apply until the tour’s rider minimum is met. This is necessary to balance the financial reality of running a tour below the rider minimum. If applicable, we will notify you when the tour is officially confirmed, and final payments are due.

Please Note: The remaining balance is due 90 days prior to tour. If one has not paid in full 60 days prior to trip departure, and has not contacted Mountain High Bicycle Tours regarding alternative payment options, Mountain High Bicycle Tours will charge the card on file for the balance, plus a 3% credit card processing fee. If payment in full can not be collected, Mountain High Bicycle Tours reserves the right to schedule another individual who can pay in full. In this event, clients are responsible for associated cancellation costs as per the cancellation policy.
Cancellations & Refunds
24-Hour Cancellation Policy Terms and Conditions:
Mountain High Bicycle Tours’s 24-hour flexible booking policy allows the flexibility to make changes to your reservations within 24 hours of purchase, without incurring change fees. This includes canceling your reservation and requesting a 100% refund.

Applies to all tours booked via website or directly over the phone.

The 24-hour timeframe begins at the time your tour is purchased.

Requests for refunds will be credited back in the original form of payment.
Standard Group Tour Offerings:
Once a spot is reserved on a standard group tour, should one need to cancel for any reason whatsoever outside the 24-hour cancellation period, we will apply the following cancellation policy.
Cancellation Policy:

For cancellations prior to 91 days before departure, a $150- processing fee per person is retained & the remainder of the deposit is refunded.

For cancellations 90 to 31 days before departure, 50% of trip fees are credited towards a future tour(‡).

For cancellations 30 days or less before departure, no monies are credited towards a future tour(‡).

(‡) If a cancelling rider finds a replacement rider for their vacated spot, the balance paid will be refunded minus the $150- processing fee

(‡) A credit is for a future tour. A refund is a return of monies paid.

If within 90 days of departure natural disasters, disease or public lands shut downs prevent a tour from being run, Mountain High Bicycle Tours will do its best to accommodate clients by issuing a credit towards a future departure.

Mountain High Bicycle Tours reserves the right to cancel any trip. Mountain High Bicycle Tours will not be responsible for non-refundable air fare.
Private or Custom Tour Cancellation Policy:

For individual riders within a private or custom group who cancel prior to 91 days before departure, a $150- processing fee per person is retained & the remainder of the deposit is refunded.

For individual rider cancellations 90 to 31 days before departure, 50% of trip fees are credited towards a future tour. *If rider cancellation takes the private/custom group below the tour minimum of 10 riders, no monies are credited towards a future tour(‡).

For individual rider cancellations 30 days or less before departure, no monies are credited towards a future tour(‡).

FULL Private or Custom Tour Cancellations:

Cancellations of an entire private or custom tours PRIOR TO 90 DAYS before departure will incur any non-refundable hotel fees, any special use public lands permit fees and a $150- processing fee per person. The remainder of deposits are refunded.

For cancellations of private or custom tours 90 to 31 days before departure, riders will incur any non-refundable hotel fees, any special use public lands permit fees. 50% of the remaining trip costs are credited towards a future tour.

For cancellations of private or custom tours 30 days or less before departure, all monies are retained
E-Bikes for tours and rental
The Mountain High Bicycle Tours E-bike fleet is composed of premium E-bikes designed for long distances. They are pedal assist only, so you get a boost when you pedal, but there is no throttle. You choose the level of assistance to suit your desired effort.
In the event a guest damages their rental bike, they will be responsible for all costs associated with restoring the bike to its originally rented condition. Such costs ARE NOT included in the cost of the rental bike. Mountain High Bicycle Tours reserves the right to charge the card on file for the cost of repair.

Custom Tours and Minimum Pricing
Custom Tour – A unique tour date and itinerary designed just for you. Reserved specifically for the guests who book it and is closed to anyone outside of the group. Please note that 6-person minimum pricing applies. Send me an email and we’ll talk.
Tour Minimum Pricing – Is used to give guests the opportunity to go forward with a specific tour which has low enrollment. It is essentially the cost that must be charged by Mountain High Bicycle Tours to break even. Guests who have signed up for a tour date with low enrollment may opt to pay tour minimum pricing to ensure the tour is a go.
Tour A-Go or No-Go Decision and Minimum Enrollment
If at 60 days prior to tour start the trip minimum has not been reached, guests will be notified and may elect to utilize tour minimum pricing. If guests do not wish to pay tour minimum pricing, all monies may be transferred to a different tour or can be refunded in full. Mountain High Bicycle Tours will not be responsible for the cost of airfare or other travel arrangements. We strongly recommend purchasing Travel Insurance to cover such costs.
Backcountry Evacuation Shuttle Policy
If a guest wants to leave a tour early or is injured and requests evacuation outside of professional emergency services, Mountain High Bicycle Tours will arrange for the most efficient shuttle available. Since it may be necessary to mobilize additional services for evacuation, an expense of up to $800 will be incurred, depending on the length and complexity of the shuttle. Furthermore, no tour refunds will be given for early departure.
Photography/Video Usage
We may use a photograph or video in our marketing that includes our guests. If you do not want us to use your image, please let us know with an email sent to MountainHighBicycleTours@gmail.com
Travel Insurance
If you have not already, now would be a great time to consider adding travel insurance to your tour. You are welcome to use any travel insurance company you would like.
